Terms and Conditions for Booking Bulmer Village Hall
- Booking Confirmation: All bookings are subject to availability and are only considered confirmed upon receipt of a completed booking form and the required deposit.
- Booking Period: The booking period includes both setup and clean up time. Any extension beyond the agreed-upon booking period may incur additional charges.
- Payments: A non-refundable deposit is required to secure the booking. The full balance must be paid at least 14 days before the event. Late payments may result in the cancellation of the booking without refund.
- Cancellation Policy: Cancellations must be made in writing and are subject to the following fees:
- 50% refund if canceled more than 30 days before the event.
- No refund if canceled within 30 days of the event.
- Security Deposit: A security deposit may be required to cover any damages or additional cleaning costs. For events such as 18th birthday parties or similar gatherings where there is a higher risk of excessive alcohol consumption or disruptive behaviour, a larger security deposit may be requested. This deposit will be refunded within 14 days after the event, provided no such issues arise.
- Use of Facilities: The hirer is responsible for leaving the facilities in the same condition as they were found. No alterations or decorations are to be affixed to the walls, floors, or ceilings without prior approval. The hirer is responsible for obtaining any necessary licenses for music, entertainment, or other activities during the event.
- Capacity and Safety: The hirer must not exceed the maximum capacity of the hall as specified in the booking agreement. The hirer is responsible for ensuring compliance with all health and safety regulations.
- Insurance: The hirer may be required to have appropriate liability insurance covering the event. Proof of insurance may be requested (check with our committee).
- Noise Control: The hirer must ensure that noise levels are kept to a reasonable level, especially during late hours, to avoid disturbance to neighbours.
- Smoking and Alcohol: Smoking is strictly prohibited within the premises. If alcohol is to be served, the hirer must comply with all relevant licensing laws and regulations.
- Responsibility: The hirer is responsible for the conduct of all persons in attendance during the event and will be held liable for any damage caused.
- Right of Entry: The committee reserve the right to enter the premises at any time during the event.
- Safeguarding: Organisations wishing to use the village hall will need to have a safeguarding policy.
- Restrictions: BBQs and any form of naked flames are strictly prohibited inside the hall but may be used outside in a safe and controlled manner. Bouncy castles are not permitted inside the hall, however they may be set up on the grass area behind the hall. The hirer is responsible for ensuring safe usage and appropriate insurance cover.
By confirming a booking at Bulmer Village Hall, the hirer acknowledges and agrees to abide by these terms and conditions. Bulmer Village Hall reserves the right to amend these terms and conditions as necessary.
